How much time have you wasted waiting in line at the Post Office? Unfortunately, if you needed a postage label, that used to be your only option. Now, there is a better way.
The right label is critical when mailing a letter or package. This piece of paper might be small, but it's the golden ticket that ensures your item is delivered on time and to the correct location.

Printing a Single Label
Just need one label? No problem.
First, create a new account to begin creating USPS Certified Mail labels, Priority Mail labels, and Express Mail labels from your home or office.
Then, find the red navigation menu at the top of the site. Under "Address Letters", click "Single Label Creation." From there, follow 3 easy steps:
- Step 1: Return address
- Step 2: Delivery address
- Step 3: Mail Options
The USPS delivery services available include:
- USPS Certified Mail with Electronic Delivery Confirmation
- Certified with Return Receipt (Signature)
- Priority Mail
- Priority Mail Express
- First-class Mail
Note that the return address will automatically default to the address in your account profile, though you can edit it if necessary. In the delivery address field, remember to complete all the sections marked with a red asterisk.
When you're finished, all that's left to do is review your label! You can click the "Preview" button to see what it will look like when it prints. If everything looks good, you're ready to print the label on plain paper.
Click on the button that says "Purchase and Print" to complete the process.
Using Your Own Certified Mail Envelope
When you print labels with us, you have three envelope options:
- Use our USPS-approved Certified Mail envelopes
- Use your own envelope with our Certified Mail Label and green sticker
- Use your own envelope with the green Certified Mail Label
For either of the three options, the label should be printed on an 8.5-inch by 11-inch page of white paper.
For Option 1, the printed label should be placed in front of your documents, so the label is visible through the clear, cellophane window.
For Options 2 and 3, the printed label should be affixed to a plain #10 Letter Size Envelope.
NOTE: If choosing Option 3, it says "Prints Green Banner." The label will feature the green USPS Certified Mail markings. Make sure to print it using a color printer, so the green color is visible!
Printing Batch Labels
Need more than one label? No problem.
When you need to mail a lot of Certified Mail letters all at once, Certified Mail Labels is your one-stop shop! From company newsletters to holiday cards, TOPA notices to other compliance mailings, there are all kinds of orders that require batch processing.
We make it easy to create labels, no matter how many or how few you need. If you have a large mailing to get out, find that red navigation menu on the top of our home page toolbar.
Under "Address Letters", find the tab that says, "Excel Batch Label Processing". From there, you'll complete the step-by-step process. Before you begin, go ahead and prepare a Microsoft Excel spreadsheet with all of your address information. Here’s a sample template for you to follow for easy upload later!
The required fields for each label include:
- Name
- Address Line 1
- City
- State
- Zip code
Once your Excel file is ready, here are the steps to follow.
Step 1: Select Your Options
Start by completing all the required fields, marked with a red asterisk. Then, choose the USPS delivery service you need. Options include, USPS Certified Mail with Electronic Delivery Confirmation, Certified with Return Receipt (Signature), Priority Mail, Priority Mail Express, and First-class Mail. Finally, enter the envelope type/weight that you're using, as well as the label image type.
Note that there will be additional options for you to consider under the drop-down menus and checkboxes. Review these to see if you require these services or additional features.
Then, it’s time to upload your Excel file. To do so, click "Choose File" and find the name of the saved spreadsheet you want to upload. When everything looks correct, click the blue "Next" button.
Step 2: Map Your Data
This second step is where you can really see how much time and sanity Certified Mail Labels can save you! Especially on large, batched jobs. When you click the blue "Map Data Records" button, you'll find that our program immediately populates with the data from your Excel file.
Step 3: Validate and Correct Your Data
The generated table should closely match the information in the spreadsheet. Still, it's important to review it for accuracy before printing your online shipping labels.
Go line-by-line and validate the information you see, making sure everything looks correct. If you notice that any boxes are highlighted in red, check the data inside of them to make sure it's accurate.
Then, review the cost of the labels under, "Total Batch Cost". Certified Mail Labels saves users $3.15 on each letter sent when compared to USPS pricing. How much does Certified Mail services cost?
Step 4: Process the Batch
Finally, you're ready to process the batch! Click on the blue "Process Batch" button in the right-hand corner. When your labels are done processing and you're ready to view and print them, return to "Address Letters" on the red toolbar. Click "Completed Excel Batch Labels" followed by "View Batch Labels Summary".
Locate and download the most recent files processed. Then, save them to your computer and unzip the file. Now, you're ready to print them from your computer!
